What You Need to Know About Choosing an Affordable Event Venue

With COVID in the rearview (for the most part) and mask/social distancing restrictions almost 100% lifted, events are ramping up once again in Raleigh. But finding an event venue—especially one that’s affordable—can be stressful, and one of the questions we get asked a lot is: Where are these affordable venues hiding?! 🔍

The answer? Right out in the open! Some of our favorite affordable venues are Raleigh public parks. Most people don’t realize they’re an option, but these parks typically sit empty in the evenings (when most people are hosting events) and they’re a great alternative to pricier, traditional private spaces. Many Raleigh parks also have shelters or full-service buildings that have a generous guest capacities and can be rented by the hour.

We especially love Lake Wheeler’s boat house and Lake Johnson’s waterfront center. We recently held a Raleigh Public Relations Society event at Lake Johnson and it was the most awe-inspiring place to start the day!

Additional venues we love are Killjoy (they have two great private rooms and you don’t have to spend any money decorating the already chic space!), any of the Umbria Hospitality Group spaces (Mulino, Melrose Knitting Mill), Raleigh Union Station (such a cool space and right Downtown!), any of the Loading Dock locations (non-members can rent their spaces as well and their hourly rates are reasonable), breweries (bonus: beer and wine are typically already provided!), and Raleigh’s museums (just make sure your guests don’t get over-imbibed and touch the valuables!).

You can also rent spaces in bigger venues like PNC Arena and Carter-Finley Stadium, which make for a pretty baller-status event! In fact, a lot of NC State’s facilities are more reasonably priced than you’d expect. You just have to be really mindful of when you do it—when school’s in session there are 20,000 extra people on campus, but in the summer and during breaks there’s less demand for the spaces. When selecting a space, you’ll want to ask questions like: Do they have any restrictions on the use of the space (do they require any rentals that you might bring in to be moved the same evening)? Is there any flexibility so your vendors can come back the next day rather than having to charge a late-night strike fee? What are their financial policies, like how much is the deposit and what are payment terms? Is there any flexibility to the booking date in case of inclement weather or other unexpected issues?

And while, for most events, it’s all about location, location, location, timing is also very important! Note that the first event season begins in April and goes through about mid-May, so it’s harder to book a venue during that timeframe. Once you reach Memorial Day and the summer holidays, you see a lot more weddings, but in terms of hosting professional events, sometimes it’s a little more limited. Event season peaks again in mid-September through about the week before Thanksgiving, and then there’s a second wave right after Thanksgiving through the week before Christmas. Keep these peak times in mind before you start the booking process if you want to benefit from more favorable terms and fewer headaches!
